Position Information
The General District Court (GDC) is seeking a Court Specialist to provide administrative support and work directly with the judges. This Administrative professional will manage a complex legal program and be responsible for understanding legal procedures related to a multitude of tasks. In addition, this position will serve as the GDC Liaison with other agencies and stakeholders.

Specific duties include:

  • Reviewing and preparing motions, court orders related to competency motions, restoration of competency orders, and recommendations for the professional staff;
  • Drafting and reviewing correspondence for Judges’ signature before distribution;
  • Arranging Sub-Judges for Judges Leave, Judicial Conference and recording and reporting Judges leave to the Supreme Court.
  • Maintaining Judges Calendar, scheduling Judges meetings, ensuring judge has a weekly preview of upcoming docket;
  • Working closely with Department of Management and Finance to manage the Judicial and Clerk’s Office Budget and accounts payable;
  • Coordinating the Court’s flow of communication with the GDC clerk’s office, the Office of the Commonwealth’s Attorney, the Bar Association and the Office of the Public Defender and the private bar;
  • Working cooperatively with other Courtroom Clerks and Sheriff’s Department to ensure courtrooms are staffed and entering information into appropriate state databases;
  • Working with Behavioral Health Team to ensure information is properly distribute to them for Behavioral Health Docket and maintaining Tracking Log;
  • Screening Attorneys seeking to be placed on GDC’s Court Appointed List.;
  • Arranging and scheduling interpreters for over 26-languages for Attorneys, Commonwealth’s Victim Witness Program Representative and Examiners for court cases and jail visits;
  • Acting as ADA Representative for GDC and ensuring court compliance with the Americans with Disabilities Act; and
  • Performing other administrative job-related duties as assigned

Selection Criteria
Minimum:

  • High school diploma or equivalent;
  • Three years of administrative support or administrative program experience in a legal or criminal justice environment. This experience must include the following:
  • Applying a substantive knowledge of a wide variety of complex administrative rules, procedures, policies and/or operations to administrative/program assignments; and 
  • Assisting in the development of administrative procedures and systems specialized in the legal environment.

Substitution: Successful completion of college coursework may substitute up to one year of experience. Additional related experience may be substituted for up to two years of high school on a year for year basis.

Desirable: Preference will be given to applicants with experience in one or more of the following:

  • Processing post-court entries into the Court's Case Management System (CMS);
  • Reviewing and disseminating court daily dockets;
  • Preparing court orders:
  • Working with sensitive and/or confidential information, especially related to handling of legal information; and/or 
  • Familiarity with legal terminology.
