Under general supervision in the Information Services Section, a Police Services Clerk is responsible for records maintenance, to include record checks for law enforcement, assisting with accident reports, warrants, and stolen vehicles. Incumbents in this position require a thorough knowledge of Federal and State regulations and codes; departmental directives and procedures as well as specialized knowledge of the services provided by the department. This position requires a high degree of accuracy and attention to detail due to potential lasting effects.

The ideal candidate should have experience in customer service, a strong degree of attention to detail. The ideal candidate should have the ability to operate under minimal supervision and possess strong written and oral communication skills. The ideal candidate should have knowledge of Federal and State regulations and codes as well as working with confidential information. The candidate should have strong organizational abilities and be able to manage multiple projects.


The Opportunity- Examples of Work

The Illustrative example of Police Services Clerk responsibilities includes but are not
limited to the following:
  • Reviews and classifies offense reports to meet Virginia IBR guidelines;
  • Reads, understands and interprets court orders, warrants, detainers, teletype messages from other jurisdictions, and sections of the Code of Virginia which pertain to criminal records regulations commitment, and bonding documents
  • Performs wanted checks through VCIN/NCIC systems and informs other pertinent jurisdictions so they may advise on a pick-up time,
  • Performs records data management tasks, such as collecting and preparing statistical data, performing legal records searches, and disseminating confidential documents in accordance with legal guidelines;
  • Reviews, processes, distributes and enters data into a local data base system, all information on accident and offense reports;
  • Process and complete record checks from law enforcement, noncriminal justice agencies and the general public. Process and complete insurance verifications;
  • Assist citizens and police personnel for accident reports, record checks, insurance verifications, copies of documents, etc.
  • Entry of stolen cars, stolen property, and warrants into Virginia and National Crime Information Network under strict entry criteria.
  • Performs other duties as assigned
