Administrative Associate - Stalking Prevention, Awareness, and Resource Center (SPARC) | AEquitas

The Stalking Prevention, Awareness, and Resource Center (SPARC), an initiative of AEquitas, is seeking an organized and detail-oriented individual to support our mission to improve the response to stalking. The Administrative Associate needs to be a team player who is comfortable managing competing priorities in a fast-paced environment. Working under the supervision of the Director and in close contact with the rest of the SPARC team, the Administrative Associate is responsible for providing administrative support to SPARC in order to ensure effective and efficient operations.

    • Mailchimp
    • Windows and iPhone Operating Systems
    • Microsoft Office Suite
    • Google Workspace Suite
    • Meeting and video conferencing platforms and software, e.g. Zoom, WebEx, Adobe Connect
  • Dedication to social justice.
  • Compassion for victims of stalking and other gender-based violence.
  • Cultural humility and an ability to work well with individuals and groups representing diverse populations and organizations.

Duties and Responsibilities

Duties and responsibilities may evolve depending on skills, focus, and expertise unique to the individual. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Manage training requests, respond to inquiries, schedule intake calls, and coordinate with SPARC trainers.
  • Respond to technical assistant requests, referring to relevant resources and connecting contacts to staff when appropriate.
  • Coordinate and schedule meetings and appointments for SPARC team.
  • Monitor training requests and coordinate logistical planning of trainings.
  • Assist SPARC with travel scheduling, authorizations, booking, logistics, and reporting.
  • Monitor and maintain SPARC printed material supply and equipment inventory by keeping records of stock, anticipating needed supplies, proposing acquisitions, placing and expediting orders, and verifying receipt.
  • Manage SPARC mailings of brochures, posters, and any other print resources.
  • Coordinate with web team to update and maintain the SPARC website.
  • Prepare mass e-mailings via Mailchimp, as needed. Update and maintain newsletter listserv.
  • Manage posts for online social media platforms, monitor social media platforms, and grow SPARC’s social media presence.
  • Assist with the preparation of programmatic impact reports.
  • Collect and manage data related to training and events, technical assistance, and deliverables in order to maintain organizational data and report relevant data to grant funders.
  • Assist with the formatting of grant proposals, training materials, and other resources.
  • Work with relevant AEquitas staff to process consultant contracts, invoices, and other relevant documents.
  • Track website and social media metrics.
  • Support organizational adherence to operating procedures.
  • Take detailed minutes at meetings, edit for coherence, and distribute to attendees, as needed.
  • Maintain confidentiality in all aspects of client, staff, and organizational information.

Compensation & Benefits

Compensation is commensurate with experience and qualifications. Our benefits package covers 100% of employee medical, dental, and vision premiums; employer retirement contributions (403b); short- and long-term disability; and generous paid time off, including parental leave.

Location

AEquitas headquarters are located in Washington, DC, but not all staff are located in the DC area. Remote work is possible and location determinations are made on a case-by-case basis. Please note that all positions are remote until further notice due to COVID-19.
