The Arlington Circuit Court is seeking a Court Specialist II to perform advanced administrative duties related to the Circuit Court Judicial Office (CCJO)'s post-Court operation. This position will review and update post-court Management System (CMS) entries to ensure accuracy, efficiency, and consistency. This position will also provide support by scheduling meetings, making travel arrangements and training accommodations, and maintaining office and judges' calendars;

The Arlington Circuit Court is a Virginia State trial court with jurisdiction over criminal and civil matters. The Judicial Chambers is composed of four Circuit Court judges, four judicial law clerks, and four administrative staff persons. Work is performed according to established guidelines under general supervision and/or direction.
 
 Specific duties include:

  • Assisting the Court Manager with clearing monthly and end of the year statistical reports;
  • Managing Court daily dockets and tracking court orders for case closures;
  • Updating information in Court's CMS and retrieving documents in the electronic case filings; 
  • Verifying accuracy of the Court's weighted caseload entries to ensure the Court receives proper credit with the State Supreme Court;
  • Serving as back-up for the Court Administrators electronic filing queues;
  • Assisting court with recording time standards information for cases in the Chambers calendar (MS Outlook);
  • Scheduling cases on the Court's docket and preparing correspondence and court orders as required;
  • Initiating and entering invoice into County’s automated financial system; 
  • Managing deadlines for assignments and following up with other members of staff, litigants, or attorneys; and
  • Assisting with writing grants and scholarship applications.

The ideal candidate will have the following:

  • Excellent customer service skills to deal with the public in person and over the phone;
  • Familiarity with the Supreme Court of Virginia Case Management System (CMS); preferable experience using electronic records management systems such as UNITY; and
  • Communication skills and the ability to compose letters and narratives on behalf of the Judges to attorneys and other legal professionals to successfully complete the work of the Court.

Selection Criteria

Minimum:

  • Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate or the equivalent; and
  • Significant paraprofessional, customer service and/or administrative experience, preferably in the legal field.
Substitution: Successful completion of college coursework may substitute up to one year of experience. Additional related experience may be substituted for up to two years of high school on a year for year basis.

Desirable: Preference will be given to applicants with experience in one or more of the following:

  • Creating and updating reports and spreadsheets with complex formulas in Excel;
  • Maintaining multiple electronic systems (i.e., staff calendars, forms, variety of files, etc.)
  • Processing post-court entries into the Court's Case Management System (CMS);
  • Reviewing and disseminating court daily dockets and preparing court orders:
  • Working with sensitive and/or confidential information, especially related to handling of legal information; and/or
  • Familiarity with legal terminology.
