Police Administrative Coordinator
Works under the general supervision of the Chief of Police.
Serves in the Police Department at Washington Dulles International Airport (IAD) and Ronald Reagan National Airport (DCA). The primary work location is IAD.
Supports the Chief of Police, Deputy Chiefs, and managers by coordinating with staff at all levels of the organization to facilitate the necessary support of Police management activities and to ensure Department operations are conducted in accordance with appropriate policies and procedures. Performs related functions.
GENERAL RESPONSIBILITIES
Facilitates the work efforts and coordinates among the various Police Department Bureaus, Commands, and Divisions as necessary to the work of the Chief of Police.
Responds to issues concerning the traveling public, Airports Authority employees, and government/civic groups related to Police operations. Coordinates with Police Department managers, as needed, or may refer issue(s) to the appropriate Airports Authority Departments for action.
Assists the Chief of Police in the application and administration of various Human Resource programs and policies; facilitates the annual evaluation, goal setting, and performance management planning process; works closely with Police Department Deputy Chiefs, managers/supervisors, and consults with applicable HR staff, as necessary.
Assists the Chief of Police, and Managers on community relations and outreach activities at the Airport; may serve as the contact person for the Police Department with Federal, state, and local officials as well as educational, business, and civic organizations.
Maintains awareness of broad Airports Authority policies, programs, and issues as they relate to the Chief of Police’s priorities, goals, and commitments.
Researches and tracks various issues, projects, and programs requiring the Chief’s action or input. Compiles background information, coordinates administrative matters and recommends internal administrative procedures in support of the Chief of Police.
Prepares written responses for the Chief’s signature (e.g., monthly report to Vice President for Public Safety, staff studies, budget reports, etc.).
Reviews incoming documents to identify items the Chief of Police needs to be aware of. Routes matters requiring others’ attention, assigns due dates, and follows up to ensure matters are completed in a timely manner.
Conducts initial review of correspondence requiring the Chief of Police’s signature for spelling, grammar, format, and compliance with guidelines. Ensures revisions are made and attachments and background material are provided before submitting to the Chief.
Drafts correspondence, minutes, lengthy notes, speeches, and resolutions from notes, recordings, discussions at senior staff meetings, and visitors’ or callers’ messages.
Screens telephone calls using knowledge of the Chief’s preferences and priorities to reduce interruptions. Responds to requests for information by providing materials and answers or directing inquiries to the appropriate office.
Makes the Chief’s, Deputy Chiefs’, and other staff travel arrangements and completes travel and reimbursement forms.
Arranges meetings with high-level officials, Chiefs, managers, and outside participants. Plans and organizes large-scale department events and meetings for various functions. Arranges location, catering, and equipment; notifies invitees and ensures they have necessary background information. Provides logistical support and coordination for specified meetings and events.
Provides administrative guidance to the Office Technicians within the Police Department. Ensures that administrative and logistical procedures are followed.
Performs other duties, as assigned.
